How to Make Payroll and Act on Time-Off Requests

In order for checks to be direct deposited by Friday, payroll must be completed by Thursday. Normally we expect employees to enter their hours for the previous week by Tuesday noon and we try to do payroll Tuesday afternoon. 

Log into the isolved portal at https://identity.myisolved.com/
(more details needed.)

Approve and Lock the Employee's Time

On the left, go to Payroll Processing>Process Payroll. Under Timecard Review Reports, choose the Time Card Report from dropdown menu. Click Go.

The processing wheel will appear to keep spinning indefinitely. To see the report, you have to go to your downloads folder and open the PDF. 

Confirm punch-outs match punch-ins; confirm employee hours. You can see a breakdown of worked hours, time-off hours and reimbursable expenses at a glance at the bottom of each employee's page.


Pro tip: Search for "Missing Punch." These must be resolved or you will not be able to "commit" payroll. 





See info below if you need to edit a time card. 

  1. Once confirmed, hit Lock button. This prevents employees from making changes. (If necessary, you can undo this by clicking Unlock.) 

  1. If there are no warnings at the bottom of screen hit Commit button. (If necessary, you can undo this by clicking Uncommit.) 

  1. Click Preview Button. 

For details by employee, under Payroll Preview Reports, choose Payroll Register in the dropdown box. Then click Go (Again, the processing wheel may appear to keep spinning indefinitely. To see the report, you have to go to your downloads folder and open the PDF.)Payroll Preview Reports

You can also go to Payroll Entry>Time Entry Grid to confirm. Should see all the hours. 

  1. Go back to Process Payroll and click Process button to process payroll.

Note any travel hours. Add a note indicating the mileage for the travel. 
Customer mileage for many customers is already in customer's Autotask account. if not, use the "Live Link" in the AT account which goes to Google Maps. From there you can calculate round-trip mileage and add it to the mileage field in the Autotask account. 
Mileage is always configured from the main office location. 


You must perform the steps in the next section to add the payment info to the payroll checking account register in Quickbooks. This is extremely important. It keeps the checking account balance up to date. 

To Sync Payroll to General Ledger Accounts in QuickBooks

Guru Importer connects Isolved to QB.

Log in by choosing the Sign into QuickBooks option on the right. 

In isolvedI go to:

Reporting> Report Archive 
Run the report called Quickbooks General Journal by clicking on it. (If you have just run payroll, it might take a few seconds for the link to this report to be clickable.)

It downloads. 

Go to Guru Exporter and log in using the "Sign Into Intuit" option. Upload the report:
Import now tab. Click Select file for import. Import and check for errors. (Click See all imports to check for errors) .

Making Edits to Employee's Time Card

Go to Employee Self Service>Time>Time Card. From here you can click on a user to see their hours and Adjustments. 

You can choose the period you want to see by clicking the arrows to the right an left of the blue dates in the center top of the spreadsheet. 

To view, add and edit Adjustments, click the tiny tiny dropdown arrow next to the date at the top of a column.

To edit employee's hours, hover over the entry you want to change. 

To edit paid time off, see the section "PTO" below. 

Adjustments include mileage as well as tolls, parking, and transit. 






Mileage is entered as the number of miles (round trip), but in the Payroll Summary it will show the dollar amounts:

Pay stubs automatically go to employees via isolved portal. 

Verify Available PTO

Approving and Editing Time Off 

For vacation taken at end of year, you may need to manually adjust balances or flag year-end PTO usage for reporting purposes. If we manually change PTO accrual, it will not show in the grid until a payroll processes. At that point the change propagates. 

To approve time-off requests, go to Employee Self Service>Time>Admin Calendar. 

To edit time-off approvals, go to Employee Self-Service - Time - Employee Absences screen. You have full edit capabilities on that screen to add, edit, and/or delete.

To View Details of Previous Payrolls

Reporting>My Reports. Search for payroll register.  Adjust the fields and hit Generate Report. To view it Go to My Reports Queue.
