Remove Old Devices from Customer Premises

As a matter of SOP, techs are to remove old hard drives (specifically those of workstations and servers) and old network devices from MSA customers’ premises when they are replaced. This is to prevent the customer from reconnecting a device that is expired, vulnerable, confusing, ineffective/broken, has duplicate data, etc.

There may be special cases when we make exceptions. For example, if a workstation is usable as a backup computer, the tech can make that determination and include that info in his notes.

The customer should be advised by the tech onsite that s/he is removing the device(s) or hard drives(s) in order to prevent future issues. If the client objects, try to determine  what the client's concern is and address it:
  1. Security: We will wipe all data from device before recycling it and provide a certificate verifying the wipe.
  2. Desire to re-use device: Re-adding the device on the network will cause issues/conflicts/security holes/etc.
  3. Resale value: Most hardware has little resale value and is not worth the time to try to sell it. This can also present security risks if a password or data was saved on the device.

We do not return devices once they are wiped. In the case of hard drives, we will provide a certificate verifying that the device was wiped.

If the customer still insists, please add this info to the NOTES section of the OSSR form before customer signs it:

Customer understands that NYGG is not not responsible for device [device identifier - host name or serial, make/model and device type] and this device is no longer managed by GGIT. If the device is put back into use by the customer and this results in any issues, resulting labor to resolve such issues is billable.

Any devices that are removed should be added to the Notes section of the OSSR . By signing the OSSR, the customer will be acknowledging that we are removing the device or hard drive component from the premises with their permission.
