Migrating Server to Google WorkSpace: template (originally used for Girls Inc)

Dear Team,

Geek Girls IT Services will be migrating the server data to Google Workspace. We will preserve the existing server file structure as much as possible within Google’s system.

The first step in this process is setting you up with Duo 2FA. On September 22nd, you will receive two text messages to complete the Duo authentication setup. Once that is done, you can log in to Gmail as you have previously, but you will need to use push authentication to access your email and files.

The next step will be to migrate your files to Google Drive.  The Migration will begin on the morning of Wednesday, October 10. Please following the below instructions carefully.

During the Migration (October 10–12)

  • Do not access or modify any files on the server starting the morning of Friday, October 10.

  • Any changes made during this time may not carry over and could be lost.

  • Matthew will notify everyone once the migration is complete and it is safe to resume working with your files.

After the Migration

  • Your files will be available in Google Drive instead of the server.

  • You can access them in two ways:

    1. Through your web browser: Go to drive.google.com and sign in with your work email account.
    2. Through Google Drive for Desktop (if installed): Files will appear in a "Google Drive" folder on your computer, similar to how you accessed the server before.

Next Steps

  • Please take a few minutes after the migration to verify that your files are present and accessible.

  • If you run into issues, contact our support team right away so we can resolve them quickly.


To ensure that no work is lost, it is critical that you avoid changing files during the migration process.
