1. In Autotask Live Reports Designer, copy one of the templates from Monthly Reports Sent to ThinkAutomation to be Appended to Datto RMM Reports.
2. Change filters Contract: Account and Contract: Contract Name to the correct client.
2B. Confirm the following additional filters already exist. If not, add them:
Ticket Complete Date:
Is Between First Day Of Last Month' And 'Last Day Of Last Month' And Contract.Account = 'GM6 Management, LLC'
Ticket Title:
Ticket.Ticket Title Does Not Contain 'Closed Opportunity for'
When you add the keywords, do NOT put them in quotes. It should look like this:
3. Save, Right click and schedule the report.
4. Name the schedule: Monthly report for [Customer Name].
4.1 Make sure Export type is pdf.
5. NEW AND IMPORTANT: Choose a time that is at least 10 minutes apart from any other monthly customer report's scheduled time. Make sure the date is correct.
6. Recurrence Pattern: Monthly 5thd day of every month. Start date will be the first day the report will be running. End date - 10 years in the future.
7. Filters: Check that filters are correct: Should be first day of last month and last day of last month and the correct client name.
9. Subject must be EXACTLY as follows:
AT Report: (Exact customer name as in AT)
E.g:
AT Report: Poor Billy's Lasagna Company
10. Email body must be EXACTLY as follows:
First Name: (recipient first name)
Email: (recipient email address)
(Omit the parentheses.)
Optionally, you can have two email recipients, using this format:
First Name: (recipient1 first name) and (recipient2 first name)
Email: (recipient1 email address)
Email: (recipient2 email address)
For example:
First Name: John and Jane
You cannot include more than two recipients. Any more than that will be dropped in the course of processing.
11. In the schedule (click “Manage scheduled reports” icon), confirm that “next run date” column is correct for new report.
12. Add the recipients to the SQL database on the server. See instructions in Autotask Knowledgebase - ARTICLE ID: 380
It is critical that the Subject and Email body be EXACTLY correct. Otherwise the info will not be parsed correctly by
Think Automation and the report will not be sent out properly. Therefore, you MUST CHECK VERY CAREFULLY FOR TYPOS IN THE SUBJECT AND BODY of the outgoing email.
