How to Give a Customer Access to Hudu

Giving a Customer Access to Hudu

Use this process to invite a customer as a Portal Member in Hudu, giving them access to view their own documentation.

Steps

  1. Go to Admin, then Users.
  2. Click the tab labeled Portal Member.
  3. Click the Invite New Users button in the upper right.
  4. Enter the customer's email address, then click the Add button to the right of the email field.
  5. Scroll down to the Role area and choose Portal Member as the role.
  6. Add the customer's company under Company.
  7. Click the Invite Users button at the bottom to send the invite.

Confirming It Worked

If the invite went through, the new user will be listed under Users, Portal Member tab, showing as an Invited User.

The invite email the customer receives is customized. It includes a warning that in order to keep their login active, they must turn on 2FA within 30 days by following the instructions at this link: How to Enable 2FA in Your GGIT Client Documentation Portal.

Follow Up on Two Factor Authentication

Schedule an email to go out in 3 weeks from the support address to the user. IMPORTANT: BCC yourself!

Email content:

Hello,
This is just a friendly reminder that, if you haven't already, you must turn on 2FA in the documentation portal. Here are simple instructions:

If 2FA is not enabled in the next 7 days, your login will be disabled.

If you have already enabled 2FA, you can ignore this message.

Thank you for helping us keep your company documentation and passwords safe!

Sincerely,
The team at Geek Girls IT Services

When you receive your BCC copy in 3 weeks, set a reminder to yourself to check in 7 days for 2FA enrollment. If it is still not enabled at that point, disable the account.
